Abstract and Travel Grant Submission Guidelines

An individual may be the First (submitting) Author of only 1 abstract.
We do allow submission of abstracts that have already been presented at meetings.
The Presenting Author must be the First (submitting) Author with his or her name appearing first in the abstract.
Abstracts must be received by the stated deadline. Abstracts received after the deadline will not be considered, and no changes to the submitted data can be made after the deadline.
All submitted abstracts will be forwarded to the Committee for review. Notifications regarding status will be sent once the review process is completed.

Conflict of Interest (COI)

All presenters at the 16th Asia Oceania ORL-HNS Congress must disclose and report on any conflict of interest, or, alternatively, to state that they have no conflict of interest. Once your presentation is accepted, the category of conflict of interest is listed below and company names must be noted for disclosure in the slide or poster used in the presentation.

1. Reporting Conflict of Interest at your presentation.

Report on any potential conflict of interest with companies and yourself, your spouse or first degree of kinship regardless of whether it's concerned with the content of your presentation. In particular, the following cases should be noted and avoided.

In the case the author is a board of director, an advisor or an employee of a company or a commercial institution.
In the case when the author has made profit from stocks and stockholding.
In the case when the author receives patent royalty from a company or a commercial institution.
In the case when the author receives lecture fees, research fees from a company or a commercial institution.
In the case when the author receives honorarium for manuscript fee on brochures from a company or a commercial institution.
In the case when the author receives research funding or grants from a company or commercial institution.
In the case when the author receives donations from a company or commercial institution.
In the case when the author receives researchers’ support from a company or commercial institution.
In the case when the endowed chair is sponsored by a company or commercial institution.
In the case when the author receives other remuneration besides research such as travel expenses, gifts etc...

2. Disclosures in the abstract and slide

Abstract: Conflict of Interest (COI) will not be posted in the abstract book.
Slide and Poster: The first authors are requested to describe COI on their slide or at the bottom of the poster presentations. If the author does not have any conflict of interest to disclose, there will be a statement to the effect, "I have no actual or potential conflict of interest in relation to this presentation." on the sample slides. We invite submissions for a Surgical Video Competition focusing on innovative techniques in nasal and paranasal sinus surgery.

1) Presentation Format

Oral presentation
(Depending on the number of submissions, some entries may be selected as general oral presentations.)

2) Eligibility

Any conference participant may apply.
However, applicants for the Award must be physicians aged 40 years or younger as of March 26, 2027.

3) Submission Concept

Using surgical videos, present your original surgical techniques or innovative approaches.
Submissions should emphasize approaches or ideas that reflect your unique surgical perspective.

4) Originality

Submissions should be previously unpublished, or should include novel content that has not been presented elsewhere.

5) Awards

Among presentations given by physicians aged 40 years or younger,
outstanding presentations will be selected for recognition by the review committee.

6) Review Criteria

Submissions will be evaluated based on the following criteria:

Originality and innovation of the surgical concept
Technical quality and clarity of the video
Educational value for sinonasal surgeons
Clinical relevance and feasibility

7) Content Guidelines

Presentations may include, but are not limited to:

Key technical innovations or modifications in the surgical procedure
Original ideas related to surgical preparation, instruments, or operative setup
Introduction of novel surgical techniques or approaches

8) Eligible Video Content (Examples)

Eligible submissions may include, but are not limited to:

“How I do it”–style presentations demonstrating original surgical techniques
Videos of challenging or complex surgical cases
Demonstrations of novel approaches, technical modifications, or problem-solving strategies in sinonasal surgery

All such formats are welcome.

9) Important

All videos must be appropriately edited to ensure that no patient can be personally identified.

10) Presentation Style

Surgical videos should be embedded within the presentation slides, with slides used to supplement and explain the video content.
Alternatively, presenters may choose to deliver the presentation primarily using video, with verbal explanation as appropriate.

11) Presentation Time

The total presentation time (including video and explanation) is expected to be approximately 6–10 minutes.

Travel Grant Application

Travel grants will be available for First (submitting, presenting) Authors who have an accepted abstract for the 16th Asia Oceania ORL-HNS Congress. The program committee will review the applicants and select up to 10 excellent abstracts.

1. Outline of grant application

Age Qualification	To register under the age of 30 (participants up to 29 years and 364 days of age on March 26, 2027)
Grant Amount	100,000JPY up to 10 awardees *The grant will be paid in Japanese Yen.

2. Travel grant application procedure

Please follow the steps below:

Step 1: Submit your abstract first from “ABSTRACT SUBMISION” at the end of this page.
Step 2: In the submission form, choose “Yes, I apply for a Travel Grant”
Step 3: Enter your birth date.
Step 4: Upload a scanned copy of your passport.

3. To receive the grant

The grant will be handed to you at the Congress Secretariat headquarters in the Congress venue. When receiving the grant, we will ask you to present your passport to confirm your birth date. If the birth date is different from the application, the grant will be withdrawn.

How to Apply

Please submit your abstract from the “ABSTRACT SUBMISSION” button at the bottom of this page.
You may change or revise your abstract up until the registration deadline.
The content of the abstract and their description are equally evaluated by peer review, and revisions are not allowed after the registration deadline.

Notification of Receipt of Abstracts

You will receive confirmation that your abstract has been received, indicating the abstract number which has been allocated. Please refer to this abstract number in all correspondence regarding the abstract. If you do not receive a notification at the registered e-mail address within 1-2 days, please inform the Conference Secretariat.

Privacy Policy

For pre-registration arrangements, the 16th Asia Oceania ORL-HNS Congress entrusts MediProduce, Inc. as the PCO. All personal information will be handled in accordance with the MediProduce, Inc. privacy policy.
Personal information entered into the registration system will not be used for purposes other than the congress.
